I’m currently evaluating Retool as I’m new to UI-bakery and would appreciate some guidance on the best plan and setup for my use case.
Here’s what I’m aiming to achieve:
- I need one admin account to build and manage multiple apps, with each app dedicated to a specific client.
- I’d like each app to be white-labeled or at least display the client’s logo for branding purposes.
- Each app will act as a private client portal, meaning only employees of that specific client will access their app (no public access).
- As an example: I plan to build 10 apps, and each app will have around 5 employees who will access it as viewers to interact with the app.
I have a few questions:
- In this case, should I be using internal tools or the customer portal features?
- Which Retool plan would best fit this scenario?
- If I scale in the future — say, 50 apps with 5 employees per app (about 250 users) — how would pricing work? Would it be charged per user?
I’d prefer to get clarity through the forum or email rather than scheduling a Zoom call at this stage.

So, to get straight to the point, you'll definitely need a Business subscription for your requirements.
As your retool account will be under your domain, all of your customers (the employees you're giving access) will fall under the external users category, priced as below:
With granular permissions, a very good data structure with row level security, and leveraging customer portals, you will be able to provide a very good and secure user experience to your customers. Bear in mind that even though teh apps can be branded for your customers, the urls will always contain your domain

so, in this Business Package i will mention multiple statements and you confirm with me if these statements are valid
- Standard user = Account admin (developer that create / edit pages )
- End user = what's it's Role ?
- External User = invited user
- price for the range of 0-250 external users that i can invite Totally Equal 7.33 per month for lets say 200 users i will only pay 7.33 for them all ?
- the invited external users, i can assign a specific role for them all to access specific app X only as viewers to interact with the app , and another role for a specific invited external user to access another app Y?

End user = what's it's Role ?
Users within your domain that only have view access. External users are users not within your account's domain

Nope, for each user.

Correct, you can define different roles for each user within your account.
