External Users converting to standard

Summary

On a Business (Cloud) plan, users were initially created as 'external users' even though they use a non-external email domain, and there's no obvious way to convert them to standard licensed users since they can't be removed/disabled or re-sent access links.

AI Response

A user's external vs. standard (internal) classification isn't set per-user and doesn't require removing or re-inviting them—it's determined by the Internal Domain List under Settings > External Apps, which is the source of truth for billing and partitioning. Add the domain of these users' (non-external) email addresses to that Internal Domain List, and Retool will automatically re-partition the existing users out of the External Users group and into standard/internal users. Also double-check that the same domain isn't still present in any legacy auto-join list, and confirm the change on the Users page once the list is updated.

Solved thread describing the same situation (users billed as external despite internal domains); Retool's governance team confirms the Internal Domain List is the source of truth and updating it re-partitions existing users.

Official docs confirming that the internal domain list determines whether a user is internal or external, and that users with domains outside the list are automatically added to the External Users group.
